Won deals in HubSpot, sales orders in NetSuite

HubSpotNetSuite
The short answer

HubSpot has its own integration with NetSuite. You install the NetSuite app from the HubSpot Marketplace, do four setup steps in NetSuite, and then sync contacts, companies, deals, orders, invoices and more, one way or both ways. You can also use Zapier, or export from one and import into the other. Where it stops: subscriptions don't sync, custom field mappings need a Data Hub plan, and reviewers say many fields and order details, like line items, can't be mapped. None of them tell you when a deal and its order don't match, and that is where the hours go. AI agents do the move and the check.

What the HubSpot integration with NetSuite has to do

Sales works in HubSpot. Orders, billing and stock live in NetSuite. When the two don't talk, someone types each won deal into NetSuite as a sales order, and the rep calls a customer who hasn't paid without knowing it.

So a good connection does more than copy contacts. It turns a won deal into the right sales order, shows sales what was billed and paid, and tells someone when the two don't match.

Three ways to connect HubSpot and NetSuite

HubSpot builds the first one. The other two work with almost any setup.

HubSpot's NetSuite app

How it works
You install the NetSuite app from the HubSpot Marketplace and link it to NetSuite with a token. Then you set up a sync for each kind of record: deals with opportunities, orders with sales orders, plus invoices, products, tickets, calls and tasks. Each can run one way or both ways.
Good for
Most companies on both programs. It is built by HubSpot and covers the records sales and finance share.
Where it breaks
Fields it can't map and order detail it leaves out, like line items, top its reviews. Subscriptions don't sync, and custom field mappings need a Data Hub subscription. It copies fields; it doesn't check that a deal and its sales order agree.

A Zapier zap

How it works
Zapier has ready-made zaps for this pair, like creating or updating NetSuite records when new contacts are added in HubSpot. Zapier lists NetSuite as a Premium app.
Good for
One small job the HubSpot app doesn't cover the way you want, like sending a form lead to NetSuite.
Where it breaks
Each zap is one trigger and one action. Orders with line items, invoices and payments are each more zaps to build and keep up.

Export and import

How it works
Export a view of records from HubSpot as a file. Then load it into NetSuite with the Import Assistant, at Setup, then Import/Export, then Import CSV Records.
Good for
A one-time move, like loading your customer list when you start on NetSuite.
Where it breaks
It is a copy on one day. After that, the two drift apart, and someone has to do it again.

Arkeo agents

How it works
Agents read deals and their stages in HubSpot and sales orders, invoices and payments in NetSuite. When a deal is won, they enter the sales order in NetSuite and check it against the deal. They write a note on the deal when the invoice is paid or late, and tell the owner what needs a person.
Good for
Teams where sales and finance both need the truth, and nobody has the hours to check both programs.
Where it breaks
Anything your rules keep for a person, like a discount over your limit or an order that doesn't match the deal, goes to your team in one message.

Set up the NetSuite integration in HubSpot: five steps

You need a HubSpot Super Admin, or a user with App Marketplace permissions, and a NetSuite admin.

  1. 1

    Turn on features in NetSuite

In NetSuite, go to Setup, then Company, then Enable Features. Turn on SuiteAnalytics Workbook, SOAP and REST web services, token-based authentication and server SuiteScript.

  2. 2

Add the HubSpot Sync Bundle and role

Install the HubSpot Sync Bundle from SuiteBundler. Then give the HubSpot Sync role to the person who will connect the two.

  3. 3

Get your account ID and token

Copy your Account ID from SOAP Web Services Preferences. Make a new access token for the HubSpot Sync application and role, and copy the Token ID and Token Secret.

    HubSpot's token steps →

  4. 4

Install the NetSuite app in HubSpot

In the HubSpot Marketplace, search for NetSuite and click Install. Paste the three values and click Connect to NetSuite by Oracle.

    HubSpot's install steps →

  5. 5

Set up each sync, then test one deal

On the CRM syncs tab, set each kind of record to sync one way or both ways. Win one test deal and check the sales order in NetSuite line by line.

Where the HubSpot NetSuite integration stops

Fields and orders are the big gap. On the HubSpot Marketplace, the NetSuite app averages 2.5 out of 5 from 31 reviews. Fifteen reviews name fields it can't map: custom fields, NetSuite dropdown lists, and some kinds of sales, like cash sales. Fourteen say it leaves out order detail, like line items. Subscriptions won't sync either. So someone still keys those into NetSuite by hand.

Errors are hard to trace. Eight reviews name sync errors, and four point to thin help pages and no sync log to find out why a record failed. When a sales order doesn't show up in NetSuite, someone has to open both programs, find the record and work out which field stopped it.

The people matter too. Each NetSuite step needs a NetSuite admin. And the app copies fields; it doesn't check a won deal's price against the sales order, or tell the rep the invoice is late. In a 20-person company that check falls on whoever does the books, every week.

The agents that do it

Each agent does one job from start to finish, some in your HubSpot and some in your NetSuite: the order entry and checking the app leaves behind. Your team talks to them in Slack or Teams.

Questions

Is my customers' information safe?

Yes. Agents work in your own HubSpot and NetSuite and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

Does HubSpot integrate with NetSuite?

Yes. HubSpot has a NetSuite app in the HubSpot Marketplace. It syncs contacts, companies, deals, orders, invoices, products, tickets and activities. You can connect a NetSuite production account or a sandbox.

Can I create a NetSuite sales order from HubSpot?

Yes. HubSpot's help pages show how to create a NetSuite sales order in HubSpot once the app is set up. HubSpot orders also sync with NetSuite sales orders, and tax codes on line items map on their own.

Who needs to set up the NetSuite integration?

Two people, or one person with both. In HubSpot, a Super Admin or a user with App Marketplace permissions. In NetSuite, an admin, because the steps turn on features and add a bundle and a role.

What does it cost?

You get the price on the call, along with the hours it saves your team.
