Chargebee invoices in NetSuite, checked each day

ChargebeeNetSuite
The short answer

To connect Chargebee to NetSuite, use the Chargebee NetSuite integration, which you set up from Apps, then Marketplace in Chargebee. It sends customers, invoices, credit notes, payments and refunds from Chargebee into NetSuite once every 24 hours, and can bring offline payments back. Zapier is the other way, one job at a time. Where they stop: the sync runs once a day, records that fail sit in a sync log until someone fixes and retries them, plan changes in Chargebee don't update the item in NetSuite, and closed periods reject changes. AI agents check the sync log and NetSuite each day and send your finance lead what needs a person.

What the Chargebee NetSuite integration has to do

Chargebee runs your subscriptions: plans, renewals, upgrades, invoices and card payments. NetSuite holds the books. Each month, each invoice, credit note, payment and refund in Chargebee has to land in NetSuite on the right customer, the right item and the right income account. If it doesn't, revenue in NetSuite won't match what Chargebee billed, and month end turns into a hunt.

So a working Chargebee NetSuite integration does two things. It moves the billing records into NetSuite the way your accountant set up the books. And someone checks, each day, that nothing failed on the way, because a record that didn't sync looks like nothing at all in NetSuite.

Two ways to connect Chargebee and NetSuite

One is Chargebee's own connector. One is a zap you build yourself.

Chargebee's NetSuite integration

How it works
Chargebee's own connector, set up from Apps, then Marketplace, then NetSuite. It creates customers in NetSuite, turns plans and add-ons into items, invoices into sales invoices and credit notes into credit memos, and applies payments and refunds. It can pull offline payments recorded in NetSuite back into Chargebee.
Good for
Subscription businesses on NetSuite OneWorld or NetSuite Standard edition that want billing in the books without typing.
Where it breaks
Chargebee's guide says it syncs once every 24 hours, sends invoices only once they leave Pending, and won't update a NetSuite item when you change the plan in Chargebee. It supports OneWorld and Standard edition without subsidiary only. Failed records wait in the sync log for someone to retry.

A Zapier zap

How it works
Zapier connects Chargebee and NetSuite. Chargebee events like a new invoice, a new payment or a payment failure can start a zap that creates, updates or finds a record in NetSuite.
Good for
One extra job the connector doesn't do, like a note on a NetSuite customer when a subscription is canceled.
Where it breaks
Zapier lists no ready-made templates for the pair, so each zap is built and mapped by hand. Running it next to the connector risks the same invoice landing twice.

Arkeo agents

How it works
Agents read Chargebee's invoices, payments and cancels each day, check that each one reached NetSuite with the right customer and amount, and send your finance lead a short list of what failed or doesn't match, with the record it came from.
Good for
Finance teams of one or two who close the books on NetSuite and can't check each sync by hand.
Where it breaks
Anything your rules keep for a person, like a credit note in a closed period or a large refund, goes to your finance lead in one message.

How to set up the Chargebee NetSuite integration

These follow Chargebee's configuration guide. Open it for the full screens.

  1. 1

    Get NetSuite ready first

Create the token for the connection at least a day early; Chargebee says it can take 3 to 4 hours to work. Add each currency you bill in, open the periods you will sync into, and make mandatory custom fields optional or give them a default.

  2. 2

    Add accounting details in Chargebee

Turn on accounting fields for NetSuite under Billing LogIQ. Give each plan and add-on its GL account, and set your invoice and credit note prefixes.

  3. 3

Connect and set the sync rules

In Chargebee, open Apps, then Marketplace, then NetSuite, select Connect and enter your details. Set the default subsidiary, then map payment accounts, coupons, payment methods, tax and the duplicate customer check.

  4. 4

    Check what maps where

Read Chargebee's field list before the first sync, so your accountant knows which customer, item and invoice fields come across and which stay blank.

  5. 5

Run 10 invoices, then the rest

Set the start date and select Run Initial Sync, which sends the first 10 invoices. Check them in NetSuite line by line, then select Run Full Sync. After that, open the Sync Log dashboard each day for failed records.

Where the Chargebee NetSuite integration stops

The connector moves records once a day. Chargebee's guide says auto sync runs once every 24 hours, and customer changes reach NetSuite on the next sync, not as they happen. A wrong invoice made this morning shows up in NetSuite tomorrow, and so does its error.

Failed records don't fix themselves. Chargebee's Sync Log dashboard shows each record as success, failed or ignored, for the last three months. Someone has to read the error, fix the cause and select Retry Sync. Chargebee's list of common errors includes a currency missing from the NetSuite customer, a revenue rule that isn't active in NetSuite, and a refund method that isn't mapped. Its help center adds smaller ones that stop a whole invoice: a state name longer than 30 characters blocks the customer, so the invoice fails with it.

Some changes never come across. Chargebee says plans and add-ons become items in NetSuite once, and later changes in Chargebee don't update them. Customers and items can't be deleted or voided through the sync. Voiding a paid invoice takes two syncs, payment first, invoice on the second try. Deleting or voiding a record in a closed NetSuite period fails by default.

Implementers who set it up for others list the same work. One NetSuite consulting firm's guide names customer duplicates, missing currencies, closed periods and time zone mismatches as the usual failures. Each one is found by a person reading the log and fixed by hand.
