A Xero Excel integration starts with Xero's own export: open any report under Reporting, then All reports, click Export and select Microsoft Excel. To keep a workbook current, the Xero App Store lists Excel apps that sync your Xero data, and Zapier can add a row to Excel when an invoice, bill or payment comes into Xero. Where they stop: an export is a copy from one day, some amounts show 0.00 until you click Enable Editing, and Xero users are still asking for an Excel export of customer statements. A zap breaks if someone sorts the sheet. AI agents build the monthly reports in Excel from Xero and send them to be checked.
Why a Xero Excel integration matters
Xero keeps the books. Excel is where people work with the numbers: the budget against actual, the cash forecast, the monthly report for the owner or a client. With no link, someone exports the same reports at month end, pastes them into last month's workbook and checks that the totals still match.
So a good connection has to do two things. It has to get the right figures into the workbook without the copy and paste, and it has to keep them current, so the sheet someone opens on the 20th isn't still showing the 1st.
Three ways to connect Xero and Excel
The first is built into Xero. The other two keep a workbook up to date, in different ways.
Xero's report export
- How it works
- In Xero, open a report under Reporting, then All reports, click Export and select Microsoft Excel. You can also export to PDF or Google Sheets. Reports on the Custom, Drafts, Published or Archived tabs can be exported from the menu next to their name.
- Good for
- Month-end packs, a one-off look at a report, or handing figures to your accountant.
- Where it breaks
- Each export is a copy from that moment. Xero says some amounts from reports with formulas show as 0.00 in Excel until you click Enable Editing. You need the administrator, standard + reports or viewer role. Users on Xero's ideas page have asked since 2022 for customer statements in Excel.
An Excel app from the Xero App Store
- How it works
- Xero's app store has a page of Excel apps, including Scott's Add-ins, XPNA, EXL Cloud by XLC and SaaSAnt Transactions. Xero says these apps import your Xero data into Excel, refresh it and let you build your own reports, across one or more Xero organisations.
- Good for
- Bookkeepers and finance leads who report from Excel each month and want the figures to refresh, not be pasted.
- Where it breaks
- Xero's page says each app works differently, so you read each listing for what it pulls and how often. It's one more app with its own login and plan, and someone still has to check the report it builds before it goes out.
A Zapier zap
- How it works
- Zapier connects Xero and Microsoft Excel. Xero triggers include New Sales Invoice, Updated Sales Invoice, New Payment, New Bill and an invoice overdue by a number of days. Excel actions include Add Row, Find Row and Update Row.
- Good for
- A running list in Excel, like each new invoice or payment on its own row, for a team that tracks it outside Xero.
- Where it breaks
- Zapier marks its Xero templates Premium, and on its free plan it checks Xero every 15 minutes. It needs a paid Microsoft 365 Business or Enterprise account with the file in OneDrive for Business. A zap breaks if someone sorts the sheet, renames a column or adds rows anywhere but the bottom.
Arkeo agents
- How it works
- Agents read invoices, bills, payments and reports in Xero, build each month's report in Excel from your template, compare spending to your budget sheet, and send the report to your reviewer. They also chase invoices that are past due.
- Good for
- Accounting firms and finance teams that build the same Excel reports from Xero each month.
- Where it breaks
- Anything your rules keep for a person, like signing off a client's report, goes to the reviewer in one message.
How to export Xero to Excel
Start with Xero's export. Add an app or a zap only if the workbook has to stay current. The vendors' guides have the screens.
- 1
Check your role in XeroTo export reports, you need the administrator, standard + reports or viewer role in Xero. Ask your Xero admin if Reporting doesn't show for you.
- 2
Export the report to ExcelIn the Reporting menu, select All reports. Open the report you want, click Export, and select Microsoft Excel.
- 3
Click Enable Editing in ExcelOpen the file in Excel and click Enable Editing. Xero says some amounts in reports with formulas show as 0.00 until you do. Check the totals against the report in Xero before you use it.
- 4
To keep it current, look at the Excel appsIf you rebuild the same workbook each month, open the Excel page of the Xero App Store. Read each app's listing for what it pulls from Xero and how often it refreshes.
- 5
Or add a row for each invoice with ZapierFor a running list, put the workbook in OneDrive for Business with the column names in row 1. In Zapier, use Xero's New Sales Invoice trigger and Excel's Add Row action.
Where the Xero Excel integration stops
Getting figures out of Xero is easy. Keeping the workbook right, and the reports in it checked, is still a person's job.
An export is a copy from one day. A bill entered late or a payment matched the next week isn't in the file. So the month-end workbook gets rebuilt, and someone has to know which version went to the owner.
Some numbers come in as zero. Xero's guide says that when you export a report with formulas to Excel, some amounts can show as 0.00 until you click Enable Editing. A report sent on before that click goes out with gaps.
Customer statements stay in PDF. On Xero's product ideas page, a request to export them to Excel opened in April 2022, and people were still adding to it in October 2026. Several write that their customers ask for statements in Excel. One describes downloading the whole ledger, splitting it by client into separate files, and emailing each one by hand.
A live sheet is easy to break. Zapier's Excel guide says a zap breaks if someone deletes rows or columns, sorts the sheet, renames a column or adds rows anywhere but the bottom. And a zap that adds a row for each new invoice doesn't change that row when the invoice is paid or edited. That takes a second zap with the Updated Sales Invoice trigger, Find Row and Update Row.
And none of it checks the numbers. A budget line that went over, a client's report with last month's figures, an invoice that's 60 days late: the sheet shows them, and a person has to notice.
The agents that do it
Each agent does one job from start to finish, in your own Xero and Excel files. Your team talks to them in Slack or Teams.

Questions
Is my customers' information safe?
Yes. Agents work in your own Xero and Excel files and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
How do I export a report from Xero to Excel?
In the Reporting menu, select All reports, open the report, click Export and select Microsoft Excel. Then click Enable Editing in Excel so amounts from formulas don't show as 0.00.
Can I export customer statements from Xero to Excel?
Not as of October 2026, going by Xero's product ideas page. A request for it has been open there since April 2022, and people are still adding to it.
Can Xero data update in Excel by itself?
Not with Xero's own export. For that, the Xero App Store lists Excel apps that sync your Xero data, or a Zapier zap can add rows as invoices and payments come in.
What does it cost?
You get the price on the call, along with the hours it saves your team.
