Your Excel files in Google Drive, kept right

ExcelGoogle Drive
The short answer

There is no Excel Google Drive integration that makes them work as one. You have three ways: keep the Excel file in Drive and edit it on the web, turn it into a Google Sheet, or put Google Drive for desktop on each computer and open the file in Excel. Where they stop: Microsoft says Excel's AutoSave and co-authoring only work in OneDrive and SharePoint, so two people in one Drive file can save over each other. Turning it into a Sheet drops macros and links to other workbooks. AI agents keep the numbers in each file current and tell you what doesn't match.

What an Excel Google Drive integration has to do

Many teams run on Google Drive but still live in Excel: the budget, the price list, the job tracker, the monthly report a client wants as a .xlsx. So the Excel files end up in Drive, and people open them in different ways. One person edits on the web, another in Excel on their laptop, a third downloads a copy and emails it back.

So a good setup does two things. It keeps one copy of each file that everyone works in, with no second version saved on someone's desktop. And it keeps the numbers inside it current, so the sheet your team reads on Monday matches what is in your other software.

Three ways to use Excel with Google Drive

All three come from Google. Microsoft's own rules decide how well Excel plays along.

Keep the Excel file and edit it in Drive

How it works
Upload the .xlsx to Drive and open it there. Google's Office Compatibility Mode lets you edit .xlsx, .xlsm and .xltm files in their Excel format in Chrome, with the Office Editing for Docs, Sheets & Slides extension, and download it again as .xlsx.
Good for
Files that have to stay Excel files, like a report a client or accountant asks for.
Where it breaks
Google's page says macros, linked spreadsheets and locked or hidden cells don't work in Sheets. People who open it in Excel on their computer instead are working on a different copy.

Turn it into a Google Sheet

How it works
In Drive's settings, check Convert uploads to Google Docs editor format, and new Excel uploads become Google Sheets. Then everyone edits the same sheet at the same time.
Good for
Teams ready to leave Excel for that file and work on it together.
Where it breaks
Google says macros don't come across, locked and hidden cells become open to edit, and any cell with more than 50,000 characters is removed. A Sheet tops out at 20 million cells or 100MB.

Google Drive for desktop

How it works
Install Drive for desktop and your Drive shows up as a folder on your computer, so you open the file in Excel itself. Real-time presence tells you if someone else is in a Word, Excel or PowerPoint file. It needs Office 2010 or later.
Good for
People who need full Excel, with its macros and add-ins, on files kept in Drive.
Where it breaks
Microsoft says AutoSave is off for files on other cloud services, and co-authoring needs OneDrive or SharePoint. Google's page says real-time presence shows who's in the file, and if someone turns it off, you won't see them.

Arkeo agents

How it works
Agents open the Excel files in your Drive, fill in the numbers from your other software, build the month's file from your template, check the sums, and send your reviewer what doesn't match.
Good for
Teams whose reports and trackers live in Excel files in Drive and are filled in by hand each week or month.
Where it breaks
Anything your rules keep for a person, like a number that looks wrong or a report that goes to a client, goes to your reviewer first.

How to connect Excel to Google Drive

Each step follows Google's own help pages. Open them for the screens.

  1. 1

    Upload your Excel files

In Drive, click New, then File Upload or Folder Upload, or drag the files into a folder.

    Google's upload guide →

  2. 2

Set whether uploads become Google Sheets

On a computer, open Drive's settings and check or clear Convert uploads to Google Docs editor format. Leave it off for files that must stay .xlsx.

    Google's upload guide →

  3. 3

    Check what won't come across

Before you switch a file to Sheets, look for macros, links to other workbooks, locked cells and very long cells. Google lists what Sheets doesn't support.

Google's page on Office files →

  4. 4

For Excel on your computer, set up Drive for desktop

Install Drive for desktop. Under Settings, Preferences, select Stream files or Mirror files, and leave real-time presence on in Advanced Settings so people can see who's in a file.

Google's Drive for desktop settings →

  5. 5

Agree on one way per file

For each shared file, decide if it lives as a Sheet or as an Excel file, and tell the team. Microsoft's co-authoring needs OneDrive or SharePoint, so one Excel file opened by two people at once in Drive isn't safe.

    Microsoft's co-authoring page →

What still has to be done by hand

Drive stores the Excel file. But Excel's own sharing and saving are built for Microsoft's OneDrive, not for Drive.

Two people can save over each other. Microsoft's AutoSave page says AutoSave is turned off when a file is on another cloud service, and its co-authoring page says to put the workbook on OneDrive or SharePoint. Google's real-time presence only shows that someone else is in the file, and only if they have it turned on. On the Chandoo Excel forum, an owner asked years ago how to let only one person edit an Excel file on Drive at a time, and got no answer that does it.

Switching to Sheets changes the file. Google's pages say macros don't come across, locked and hidden cells become open to edit, and cells over 50,000 characters are removed. In 2020, on Google's AppSheet forum, Google's team confirmed a bug where an Excel file opened in Google Sheets and edited stopped working for an app that read it from Drive.

And none of this fills in the file. The sales, hours or stock in the tracker still get typed or pasted in from other programs, then checked, by someone on your team each week.

The agents that do it

Each agent does one job from start to finish in your own Excel files and Drive folders, and sends your team what needs a person.
