To connect Excel to Word, you have three options from Microsoft. Paste a table or chart into Word as a link, so it updates when the workbook changes. Use mail merge to fill letters, labels or emails from an Excel sheet, one per row. Or use the Populate a Microsoft Word template action in Power Automate to fill a Word template from your data. Where it stops: links break when a file moves or lives on OneDrive, mail merge drops leading zeros and formatting unless the sheet is set up first, and the template action skips common form fields. Nobody checks the finished document. AI agents build it and check it.
What it means to connect Excel to Word
The numbers live in Excel: the budget, the price sheet, the client list, the month's results. The document the client reads lives in Word. When the two are not connected, someone copies the numbers across by hand, and the report goes out with last month's total or a client's name in the wrong letter.
So connected has to mean the Word document shows the numbers that are in the workbook today, in the right format, and that someone notices when it doesn't. Each of Microsoft's options does part of that. None of them tells you when the link is wrong.
Three ways to connect Word to Excel
All three come from Microsoft. Which one fits depends on whether you need one document that stays current, or many documents filled from rows.
A linked table or chart
- How it works
- You copy cells or a chart in Excel and paste it into Word with a link option, like Link & Keep Source Formatting. Word keeps a link back to the workbook. You can also embed the workbook, which puts a copy inside the Word file instead.
- Good for
- One report or proposal that has to show the current numbers from one workbook.
- Where it breaks
- Microsoft says the copy tools are not in Office Online, so this needs the desktop apps. A linked file has to stay where it is, and in a Microsoft Tech Community thread open from 2019 to 2025, people say links stopped updating once the files were saved to OneDrive. An embedded copy never updates at all.
Mail merge from an Excel sheet
- How it works
- On the Mailings tab in Word, you connect an Excel sheet as your mailing list, add merge fields like name and address, preview, and finish the merge to print or email. Word makes one letter, label or email per row.
- Good for
- Letters, labels, envelopes and bulk emails that each need a client's own details.
- Where it breaks
- Microsoft says to finish all changes to the sheet before you connect it, keep the data on the first sheet, and store the file on your own computer. ZIP codes lose leading zeros unless the column is text, and a percent column is multiplied by 100.
Microsoft's Word template connector
- How it works
- In Power Automate, the Populate a Microsoft Word template action fills a Word template with values, such as a row from an Excel table. You build the template in desktop Word with content controls and save it in OneDrive for Business or SharePoint.
- Good for
- A document made the same way each time, like a quote or a letter when a row is added.
- Where it breaks
- Microsoft lists it as a Premium connector. Its known issues say it doesn't handle rich text, date or check box controls, files over 10MB, documents that take over 2 minutes, or accounts under a multi-factor sign-in policy. Templates can't be made in Word for Mac.
Arkeo agents
- How it works
- Agents read the workbook, build the Word document from your template with this month's numbers, check the totals and names against the sheet, save it as a new version or a PDF in the client's folder, and send it for review.
- Good for
- Firms that send the same reports, letters or proposals each week or month and check them by hand today.
- Where it breaks
- Anything your rules keep for a person, like signing off a client report, goes to the reviewer in one message.
How to connect Excel to Word: five steps
These follow Microsoft's own guides. Open them for the screens.
- 1
Set up the Excel sheet firstPut the data on the first sheet with one header row. Format ZIP codes and any codes with leading zeros as text, and format money and percent columns the way you want them to show. Save it under a new file name.
- 2
Paste a linked table or chart into WordCopy the cells or chart in Excel. In Word, paste and use Link & Keep Source Formatting or Link & Use Destination Styles for cells, or Keep Source Formatting & Link Data for a chart. Do this in the desktop apps.
- 3
Keep both files in one fixed placeA link works only while the workbook stays where it was when you linked it. If you move it, the link stops working, so keep linked files on a shared drive or site where the paths don't change.
- 4
Run a mail merge from the sheetIn Word, go to the Mailings tab, connect your Excel sheet, and add merge fields. Use Preview Results to check a few rows, then Finish & Merge to Print Documents or Merge to E-mail.
- 5
Fill a Word template from Excel rowsBuild the template in desktop Word with the Developer tab and plain text content controls, each with its own name. Save it to OneDrive for Business or SharePoint. In Power Automate, add Populate a Microsoft Word template and fill each control from your Excel row.
Where the Excel Word integration stops
Each of these gets numbers from Excel into Word. Making sure they are the right numbers, in the right place, on the day the document goes out, is still a person's job.
Links break quietly. Microsoft's object guide says a linked file has to stay where it is, and the link won't work if the file moves. In a Microsoft Tech Community thread first posted in 2019, people were still writing in 2025 that Word links to Excel stopped updating once the files were saved to OneDrive, with no reply from Microsoft. The only fix anyone reported was moving the workbook off OneDrive. Microsoft also says the copy tools are not in Office Online, so the person who opens the file in Word on the web can't update it.
Mail merge reads the sheet as it was. Microsoft's guide says to finish changes before you connect the sheet and to store it on your own computer. It also says ZIP codes lose leading zeros unless the column is text, and a percent column comes across multiplied by 100. A row added after the merge, or a code that lost its zero, goes out wrong.
The template connector has a long list of things it skips. Microsoft lists rich text, date and check box controls as not supported, a 10MB file cap, a 2 minute limit, and no use under a multi-factor sign-in policy. Microsoft adds that the filled-in fields come out locked in desktop Word unless the template was set up a certain way, so a last fix in the document takes extra steps.
And nobody reads the result. A total that doesn't match the sheet, a blank field, or last month's chart still has to be caught by someone before the client sees it.
The agents that do it
Each agent does one job from start to finish, in your own Excel and Word files. Your team talks to them in Slack or Teams.
Monthly reports ready to review, not to build.
- Pulls the month's numbersat month end
- Builds the report from your templateper client
- Sends it to your reviewersame day
Clients see the work without anyone writing it up.

Questions
Is my customers' information safe?
Yes. Agents work in your own Excel and Word files and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
How do I link Excel to Word so it updates automatically?
Copy the cells or chart in Excel, then paste into Word with Link & Keep Source Formatting, or Keep Source Formatting & Link Data for a chart. The Word copy updates when the workbook changes, as long as the workbook stays where it was when you linked it.
How do I connect Word to Excel for a mail merge?
In Word, go to the Mailings tab and connect your Excel sheet as the mailing list. Microsoft says to put the data on the first sheet, finish your changes first, and format ZIP codes as text so leading zeros aren't dropped.
Why did my Excel link in Word stop updating?
Two reasons come up often: the workbook was moved or renamed, or the files were saved to OneDrive. People in Microsoft's Tech Community report links failing after a move to OneDrive. Open both files in the desktop apps and paste the link again.
What does it cost?
You get the price on the call, along with the hours it saves your team.
