Twilio texts that land on the right Zoho CRM record

TwilioZoho CRM
The short answer

To connect Twilio to Zoho CRM, most teams add a Twilio extension from the Zoho Marketplace and enter their Twilio account details. These extensions, mostly built by other makers, let you text leads and contacts from Zoho CRM, send bulk texts, and log replies on the record. Zapier is the other common way: a new Twilio text can update a Zoho CRM record, and a new lead can get a text. Where it stops: each extension is a separate paid app with few or no reviews, replies only land on a record when the number matches, US texting needs Twilio registration first, and nothing reads the reply and does the follow up. AI agents do that part.

What a Twilio Zoho CRM integration has to do

Your leads, deals and follow ups live in Zoho CRM.

Your texts and calls go out through Twilio, because that's the number your customers reply to.

So connected has to mean each text and each reply sits on the right lead or contact, the owner sees it, and a reply that says yes, no or call me changes what happens next. Otherwise someone reads Twilio's logs, finds the person in Zoho and types what they said.

Ways to connect Twilio and Zoho CRM

Zoho doesn't list a Twilio connection built into Zoho CRM, so each of these is added on.

A Twilio extension from the Zoho Marketplace

How it works
You install a Twilio extension in Zoho CRM and enter your Twilio Account SID, Auth Token and number. Plugify's Twilio SMS for Zoho CRM sends and receives texts and bulk campaigns for leads, contacts, accounts and deals. AMATEC's Twilio Chat for Zoho CRM keeps two-way chats on leads and contacts. Zoho itself once announced a Twilio SMS extension that adds an SMS Texts module and a Send Bulk SMS button.
Good for
Sales teams that want to text from the lead or contact record and see replies there.
Where it breaks
Each is a paid app with its own subscription, and you need your own Twilio account. Plugify's lists 600 or more installs and no reviews, and AMATEC's and DSVCorp's listings show no reviews either. Trials run 10 days and can't be extended, and payments aren't open to EU buyers on some listings.

A Zapier zap

How it works
Zapier's Twilio triggers include New SMS and New Call, and its actions include Send SMS and Call Phone. Zoho CRM's triggers include New Lead and New/Updated Module Entry, and its actions create or update records and add tags.
Good for
Sending a first text to each new lead, or logging inbound texts on a record.
Where it breaks
Matching a text to the right lead by phone number is a step you build. Zapier points paid Zoho CRM plans to its instant New Module Entry trigger instead of the slower ones, and a zap that fails doesn't tell the lead's owner.

Arkeo agents

How it works
Agents send the first text to each new lead from your Twilio number, read each reply, log it on the right Zoho CRM lead or contact, and do what it asks: book the call, update the deal, or tell the owner. They also text back missed calls.
Good for
Teams that text leads and customers all day and lose replies between Twilio and Zoho CRM.
Where it breaks
Anything your rules keep for a person, like an upset customer or a large deal, goes to the owner in one message.

How to set up the Twilio Zoho CRM integration

These follow the extension listings, Zoho's announcement and Twilio's docs. Open each for the screens.

  1. 1

Register your Twilio number for US texting

If you text people in the US from a 10-digit number, register a brand and a campaign with Twilio first. Twilio says unregistered traffic gets extra carrier fees, and registering lowers filtering.

  2. 2

Install a Twilio extension in Zoho CRM

Open the Zoho Marketplace from Zoho CRM, search for Twilio and check each listing's supported modules and editions before you install. Note the trial length.

  3. 3

    Enter your Twilio account details

In the extension's settings, add your Twilio Account SID, Auth Token and the Twilio number to send from. Set up inbound texts as the extension's guide says, so replies come back into Zoho CRM.

  4. 4

Check phone numbers on your records

Make sure leads and contacts have mobile numbers in one format, with the country code. A reply only lands on a record when the number matches.

  5. 5

Add a zap for what the extension doesn't do

In Zapier, use Zoho CRM's New Lead or New/Updated Module Entry with Twilio's Send SMS, or Twilio's New SMS with Zoho CRM's Update Module Entry.

Where the Twilio Zoho CRM integration stops

An extension sends the text and logs the reply. Reading the reply and doing something about it is still someone's job.

Finding the right extension is part of the work. Zoho announced its own Twilio SMS extension, but a later post on Zoho's community says the writer followed Zoho's directions and found no Twilio extension listed in the CRM marketplace. What's listed now comes from other makers, and the listings we read show no reviews to go on. Each needs its own subscription on top of Twilio's.

Replies need a match. A text from a number that isn't on any record, or is saved in a different format, has nowhere to land. With Zapier, finding the right lead by phone is a step you build and keep working.

US texting has rules first. Twilio says anyone texting the US from a 10-digit number has to register a brand and a campaign, and unregistered traffic gets extra carrier fees and more filtering. Texts that don't arrive look the same in Zoho CRM as texts that do.

And no one reads the replies for you. A logged reply that says call me tomorrow is just a line on the record until someone sees it, books the call and moves the deal. Teams that connect Salesforce to Twilio hit the same gap.

The agents that do it

Each agent does one job from start to finish, in your own Twilio and Zoho CRM. Your team talks to them in Slack or Teams.

Questions

Is my customers' information safe?

Yes. Agents work in your own Twilio and Zoho CRM and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

Does Zoho CRM integrate with Twilio?

Through extensions in the Zoho Marketplace, most of them built by other makers. They let you text leads and contacts from Zoho CRM and log replies. Zapier can also connect the two. Each needs your own Twilio account.

Can I send bulk texts from Zoho CRM with Twilio?

Yes, with an extension that supports it. Zoho's announcement of its Twilio SMS extension describes a Send Bulk SMS button, and Plugify's listing describes bulk campaigns. For US numbers, register with Twilio first, since Twilio says unregistered traffic gets extra carrier fees.

Can I keep texts in a spreadsheet too?

Yes. Zapier can add a row for each Twilio text, the way teams connect Twilio to Google Sheets. But a sheet is one more copy to keep matched with the CRM.

What does it cost?

You get the price on the call, along with the hours it saves your team.
