The main Gravity Forms Twilio integration is the Twilio Add-On from Gravity Forms. In WordPress, go to Forms, then Settings, then the Twilio tab, enter your Twilio Account SID and Auth Token, then add a Twilio feed to each form. Each new entry then sends a text to the number you set, or to the person who filled in the form. Where it stops: the add-on comes with the Pro, Elite and Nonprofit licenses, US texts from a local Twilio number need A2P 10DLC registration first, and the add-on only sends. When the customer texts back, the reply lands in Twilio, not on the form entry, and nobody owns it. AI agents do that part.
What a Gravity Forms Twilio integration has to do
Quote requests, bookings and service calls come in through your website forms. An email can sit for hours. A text to your phone, or a text back to the customer, gets seen in minutes. That is why owners connect Gravity Forms to Twilio.
So connected has to mean more than one text going out. The right person hears about the entry fast, the customer gets a reply, and when the customer answers back, someone sees it and acts. The add-on does the first part well. The back and forth after it is where leads go cold.
Two ways to connect Gravity Forms with Twilio
Most sites only need the add-on. Zapier helps when replies have to come back into WordPress or go to another app.
The Gravity Forms Twilio Add-On
- How it works
- You install the add-on, enter your Twilio account details under Forms, then Settings, then Twilio, and add a Twilio feed to each form. The feed sends a text from one of your Twilio numbers to a fixed number, or to the phone number the person typed in, using merge tags for the answers. Conditional logic sends only some entries, and it can wait until a payment has gone through.
- Good for
- Texting your team the moment a quote request comes in, or sending the customer a quick note that you got their form.
- Where it breaks
- Gravity Forms lists it with the Pro, Elite and Nonprofit licenses. Each feed has one To Number, so texting both the customer and a manager means two feeds. Messages over 1600 characters are split into several texts. It only sends: nothing in the feed handles a reply.
A Zapier zap
- How it works
- Zapier starts a zap when a Gravity Forms form is submitted and can send a text or make a call in Twilio. It also works the other way: a New SMS on your Twilio number can submit a Gravity Forms form, so a reply becomes an entry.
- Good for
- Teams that want texts in both directions, or the entry sent to a CRM in the same zap.
- Where it breaks
- You need a Zapier account and you build and keep up each step. The New SMS trigger checks for new texts every 15 minutes on Zapier's Free plan, so replies arrive late, and a step that fails leaves a gap no one sees.
Arkeo agents
- How it works
- Agents watch the texts going in and out of your Twilio numbers. They read each reply, match it to the form entry it belongs to, answer simple ones like a time or a yes, and hand anything else to the right person with the details. Each day they list the entries that got no answer.
- Good for
- Businesses where form leads turn into text threads, and some of those threads never get a second reply.
- Where it breaks
- Anything your rules keep for a person, like a quote price or an upset customer, goes to the owner in one message.
How to set up the Gravity Forms Twilio Add-On
These follow Gravity Forms' and Twilio's own guides. Open them for the screens.
- 1
Check your license and install the add-on
The Twilio Add-On comes with the Gravity Forms Pro, Elite and Nonprofit licenses. Install it in WordPress, and have a Twilio account ready.
- 2
Register your Twilio number for US textsIf you text people in the US from a local Twilio number, Twilio says you must register for A2P 10DLC: a brand for your business and a campaign for the kind of texts you send. Toll-free numbers and short codes are outside that system.
- 3
Connect Twilio in WordPress
In your WordPress dashboard, hover over Forms and click Settings, then the Twilio tab. Select your API Mode, enter your Account SID and Auth Token from Twilio, add a Bitly token if you want short links, and click Save Settings. Green check marks mean it worked.
- 4
Create a Twilio feed on the form
Open the form, hover over Settings and click Twilio, then Add New. Name the feed, set From to one of your Twilio numbers, enter the To Number with its country code or a merge tag for the phone field, and write the Message using the Insert merge code list.
- 5
Set conditions, then test
Turn on Conditional Logic if only some entries should send a text, like large quote requests. Then fill in the form yourself with your own phone number and check that the text arrives.
Where the Gravity Forms Twilio add-on stops
The add-on sends a text. What happens after the customer reads it is still up to your team.
Replies don't come back. The feed has a From number, a To Number, the Message, short links and Conditional Logic. Nothing in it deals with a reply. When a customer texts back "Tuesday works", the text goes to your Twilio number. The form entry in WordPress never shows it, so someone has to check Twilio, find the thread and match it to the right lead by hand.
Opt-outs live in Twilio. Twilio handles replies like STOP, UNSUBSCRIBE, END, QUIT, STOPALL and CANCEL on long code numbers, and added REVOKE and OPTOUT in May 2025. That list is kept in Twilio. Nothing on the form entry says the person asked to stop, so your team has to check before they text or call again.
Unregistered texts cost more and get filtered. Twilio says anyone texting the US from a local number must register for A2P 10DLC, and that unregistered senders pay added carrier fees. Registering brings lower filtering, so texts from an unregistered number are more likely to go missing.
Phone numbers trip it up. The To Number needs a full number with an area code, or a country code for other countries. Gravity Forms fixed a bug in February 2026 where international phone numbers from the form were not sent to Twilio the right way. The add-on records whether each feed ran, but someone has to open the entry to see a failure.
And when the shop gets busy, nobody checks at the end of the day which texted leads never got a second message.
The agents that do it
Each agent does one job from start to finish, through your own Twilio numbers. Your team talks to them in Slack or Teams.
A missed call still gets a reply.
- Spots a missed call to your numberas it happens
- Texts back with a link to bookwithin minutes
- Logs it and tells the ownersame day
Fewer empty chairs, with no calls to make.
- Texts each patient a reminderday before
- Reads replies and confirms or cancels the bookingas they come
- Offers the open spot to the waitlistright away
Questions
Is my customers' information safe?
Yes. Agents work in your own Twilio account and see only the texts their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Does Gravity Forms integrate with Twilio?
Yes. Gravity Forms makes a Twilio Add-On that sends a text when a form is submitted or a payment is completed. It comes with the Pro, Elite and Nonprofit licenses. You can also connect them with a Zapier zap.
Can Gravity Forms text the person who filled in the form?
Yes. In the Twilio feed, use a merge tag for the form's phone field in the To Number setting. Ask for the number with its country code, or the text may not go through.
Why are my Gravity Forms texts not arriving?
Check for the green check marks on the Twilio settings page, the number format in the To Number, and that any Conditional Logic is met. For US texts from a local number, check that your A2P 10DLC registration is done in Twilio, and update the add-on to the latest version.
What does it cost?
You get the price on the call, along with the hours it saves your team.
