Your Outlook meetings in Slack, with the follow-up done

OutlookSlack
The short answer

To connect Slack to your Outlook calendar, add Slack's Outlook Calendar app. Each person links their Microsoft 365 account, then gets reminders and invites in Slack, can answer an invite from the message, and can have their Slack status set to In a meeting or Out of Office. Power Automate and Zapier can post calendar events into a channel. Where they stop: the app works only with Office 365, not an Exchange server in your office; status follows only your main calendar and only meetings you accepted; and when the link to Outlook breaks, reminders stop with no warning. AI agents prepare each meeting and follow up after it.

What it takes to connect Slack to your Outlook calendar

Many small teams keep their meetings in Outlook and talk in Slack. When the two don't meet, people learn about a moved call from an email they didn't open, a teammate gets pinged in the middle of a client meeting, and nobody can tell from Slack who is out today.

So connected has to mean two things. Each person sees their next meeting, and any change to it, where they already work. And the team can tell from Slack who is busy or away. Slack's own app does both for each person. What it doesn't do is anything about the meeting itself.

Three ways to connect Outlook calendar to Slack

Most teams start with Slack's own app.

Slack's Outlook Calendar app

How it works
Slack's own app in the Slack Marketplace. One person adds it, then each person connects their own Microsoft 365 account. It sends reminders, invites, changes and cancels, lets you answer an invite in Slack, shows a Join option for Teams or Zoom calls, and can set your status to In a meeting, Working remotely or Out of Office.
Good for
Teams on Microsoft 365 who want each person's meetings and status in Slack.
Where it breaks
Slack says it works only with Office 365, not with an Exchange server you keep in your office, and not with U.S. Government Office 365. Status follows only your main calendar, and only meetings you accepted or that show you as Busy. The daily schedule needs a paid Slack plan.

A Power Automate flow

How it works
Microsoft's Office 365 Outlook connector can start a flow when an event is added, updated or deleted, and its Slack connector can post a message to a channel. You build the flow yourself.
Good for
Teams already on Microsoft 365 who want a shared calendar posted into one channel.
Where it breaks
Microsoft says a change to a repeat meeting fires once for each meeting in the series, accepting an invite can fire twice, and a trigger can be up to an hour late. Each calendar needs its own flow. The Slack connector can post and set Do Not Disturb, but can't set a status.

A Zapier zap

How it works
Zapier's Microsoft Outlook triggers include New Calendar Event, Updated Calendar Event, Calendar Event Start and Cancelled Calendar Event. Its Slack actions include Send Channel Message, Send Direct Message and Set Status.
Good for
Teams with one routine, like posting each client meeting to a channel before it starts.
Where it breaks
Each case is a step you build and keep up: new events, changes and cancels. When a step fails, someone has to notice it in Zapier and fix it.

Arkeo agents

How it works
Agents read each person's Outlook calendar and the client's last emails, send your team a short brief before each meeting. After it, the follow-ups people post in Slack become tasks with an owner, and agents chase them until they're done.
Good for
Teams whose week is client meetings, where a missed follow-up costs a client.
Where it breaks
Anything your rules keep for a person, like a reply to an upset client, goes to the owner in one message.

How to connect Outlook calendar to Slack: six steps

These follow Slack's own guide to the Outlook Calendar app. Open it for the screens.

  1. 1

    Add the app to Slack

One person opens the Outlook Calendar page in the Slack Marketplace, clicks Add to Slack, then Allow, then Open Slack.

    Turn off double reminders

Slack suggests changing Outlook's own email, desktop and phone alerts, so you don't get each reminder twice.

What still has to be done by hand

The app shows your meetings in Slack. Everything around the meeting is still a person's job. Slack's guide sets the limits. Status follows only the main calendar of the account you connected, and only meetings you accepted or that show you as Busy. A client call sitting on a shared calendar, or an invite you never answered, won't change your status. When meetings overlap, Slack uses the longer one or the one that starts first.

Some Outlook setups can't use it. Slack says the app is only for Office 365. A company that runs its own Exchange server, or uses a government Office 365 plan, can't use it at all, and is left with flows or copying by hand.

Flows have their own fine print. Microsoft's Outlook connector page says changing a repeat meeting fires the flow once for each meeting in the series, so a weekly call with 15 dates posts 15 times. Accepting an invite can fire it a second time, and a trigger can be up to an hour late. Microsoft's Slack connector can't set a status at all.

And the link can break without telling you. Slack's status page records that in June 2024 its own sign-in to Outlook Calendar expired, and the app failed for more than a day. None of these tools prepares the meeting, writes down what was agreed, or checks that the follow-up was sent.

The agents that do it

Each agent does one job from start to finish, in your own Outlook and Slack. Your team talks to them in Slack.

Questions

Is my customers' information safe?

Yes. Agents work in your own Outlook and Slack and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

How do I connect Outlook to Slack?

For your calendar, add Slack's Outlook Calendar app from the Slack Marketplace, then connect your account from the app's Home tab. Your teammates do the same with their own accounts.

Can Slack change my status when I'm in an Outlook meeting?

Yes. Turn on status sync in the Outlook Calendar app. It sets In a meeting, Working remotely or Out of Office, doesn't show the meeting name, and won't replace a status you set yourself.

Does the Outlook Calendar app work with Exchange?

Only Exchange in Office 365. Slack says the app isn't supported for Exchange servers a company keeps itself, or for Office 365 plans on Microsoft's national clouds, like U.S. Government.

What does it cost?

You get the price on the call, along with the hours it saves your team.
