Each Shopify order on the right Trello card

ShopifyTrello
The short answer

We found no Shopify Trello integration made by Shopify or Trello. To connect them you use an outside app: Zapier, which can make a Trello card for each new Shopify order and move or label it as things change; MESA, which has a template for an order card with the customer and items; or Trello Tools, a small app in the Shopify App Store. Where they stop: the card is made once and doesn't change when the order is edited, refunded or cancelled unless you build each of those steps, an update can fire many times and make repeat cards, and Trello's Free plan caps its own automation runs each month. AI agents check open orders against the board and move or flag the cards that are wrong.

What a Shopify Trello integration has to do

Small shops use a Trello board to run the work behind each order: custom pieces to make, gifts to wrap, orders to pack, returns to handle. Without a Shopify Trello integration, someone reads each order in Shopify and types a card for it.

So connected has to mean more than a new card. The card needs the items and the notes the maker or packer needs. And it has to stay true to the order: when the customer changes the address, the order is refunded or it ships, the card has to move or change too.

Three ways to connect Shopify to Trello

All three are outside apps that connect to both.

Zapier

How it works
You build a zap with a Shopify trigger, like New Order, New Paid Order, Updated Order, New Cancelled Order or New Refund, and a Trello action, like Create Card, Move Card to List, Add Label to Card or Create Comment.
Good for
Shops that want a card for each new order and are willing to build a zap for each later change.
Where it breaks
Each change is its own zap. Zapier staff say the Updated Order trigger fires on any change to the order, shipping status included, so you need filters, and a search step, or it makes repeat cards. Zapier's help says line items only come across when both the trigger and the action support them.

MESA

How it works
MESA's template uses the Shopify Order Created trigger and the Trello Create Card action. Each new order becomes a card with the order number as the title, and the customer, totals and items in the description.
Good for
Shops that want the order card made for them, with the items already on it.
Where it breaks
The template makes the card when the order is placed. Moving it when the order ships, or closing it when the order is cancelled, is more you build yourself.

A Shopify App Store app

How it works
Trello Tools, by Boohead, is an app in the Shopify App Store. It makes a Trello card for each new order, copies the customer's details, and updates the card's status. Rules can tag large orders, sort by product type or assign orders to a person.
Good for
Shops that want an app from the Shopify App Store instead of building zaps.
Where it breaks
Each plan has a cap on tasks and on Shopify events each month. It has 2 reviews in the App Store, so there is little public record of how it holds up.

Arkeo agents

How it works
Agents make the card when the order comes in, then check open orders against the board each day: they move cards that shipped, flag cards for orders that were refunded or cancelled, and find orders with no card.
Good for
Shops where the board runs the day's work, and a wrong card means a wrong item made or shipped.
Where it breaks
Anything your rules keep for a person, like an order changed after it was made or a refund on a custom piece, goes to your ops lead in one message.

How to connect Shopify to Trello

These follow Zapier's, MESA's and Trello's own pages. Open them for the screens.

  1. 1

    Set up the board first

Make one list for each step an order goes through, like New, Making, Packed and Shipped. Decide which list a new card lands in and who owns it.

  2. 2

Make the card for each new order

In Zapier, start with the Shopify trigger New Paid Order, so unpaid orders don't make cards, and add the Trello action Create Card. Put the order number in the card name and the items and notes in the description.

  3. 3

Or use a template that adds the items

MESA's template uses Order Created and Create Card and fills in the customer, totals and items for you. Select the board and list the card goes to.

  4. 4

Add a zap for each change you care about

Add zaps for New Fulfilled Order to move the card to Shipped, and for New Cancelled Order and New Refund to label it. Each one needs a step that finds the card first.

  5. 5

    Check your Trello automation quota

If you also use Trello's own automation on the board, check how many runs your plan allows each month. On the Free plan it is 250 for the whole Workspace.

What still has to be done by hand

The connection makes a card. Keeping the board true to Shopify is still someone's job, and most of the work in an order happens after the card is made.

Changes don't follow the card. A card made by a zap or a template is a copy of the order at that moment. If the customer changes the size or the address, or the order is refunded or cancelled, the card stays as it was unless you built a separate zap for that change. On Zapier's community forum, staff said the Updated Order trigger fires on any change to an order, so a shop that uses it needs filters and a lookup step to find the right card.

Repeat cards show up. In another Zapier thread, a shop said each change in shipping status ran its zap again. In a third, a New Order zap ran twice for the same order, and Zapier staff called it a known issue with the instant trigger and suggested keeping a table of orders already done.

Limits run out. Trello's page says the Free plan gets 250 automation runs and 2,500 operations a month, shared across the whole Workspace. Trello Tools and Zapier plans cap tasks too. A busy month can stop the board from moving, and nobody is told.

And no one checks that the board and the orders agree. Someone still compares open orders in Shopify to the cards on the board, and finds the orders that never got a card.

The agents that do it

Each agent does one job from start to finish in your own Shopify and Trello. Your team talks to them in Slack or Teams.

Questions

Is my customers' information safe?

Yes. Agents work in your own Shopify and Trello and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

Is there a Shopify Power-Up for Trello?

We didn't find one made by Trello or Shopify. Shops connect the two through outside apps like Zapier, MESA or Trello Tools in the Shopify App Store.

Can I make a Trello card for each Shopify order?

Yes. Zapier, MESA and Trello Tools can each make a card for each new order. Use the paid order trigger if you only want cards for orders that were paid.

Will the Trello card update when the order changes?

Only if you build that. Each change, like a refund, cancellation or shipment, needs its own step that finds the card and moves or labels it.

What does it cost?

You get the price on the call, along with the hours it saves your team.
