Finished work on your board, billed in QuickBooks

Monday.comQuickBooks
The short answer

To connect monday.com and QuickBooks, you have three options. The monday.com QuickBooks integration built by monday sends customers to QuickBooks and brings invoices and products back to your board, on the Ultimate plan. You can also use a Zapier zap, or export a file from QuickBooks and import it into monday. Where they stop: monday's integration can't make an invoice from your board, many column types don't go across, and nothing chases the invoice nobody paid. Someone still types each finished job into QuickBooks. AI agents do that part.

What the monday.com QuickBooks integration has to do

Your team tracks the work on a monday.com board. Your bookkeeper bills it in QuickBooks. In between, someone reads the board, types the customer and the items into an invoice, and later checks who paid. When that waits for a quiet afternoon, invoices go out late and the board says nothing about money.

So "connected" has to mean three things. Each customer on the board is the same customer in QuickBooks. Finished work turns into an invoice without anyone typing it twice. And the board shows which invoices are paid, so the team knows before they start the next job for a client who is behind.

Three ways to connect monday.com and QuickBooks

One is built by monday, one uses Zapier, and one is a file you move by hand.

monday's QuickBooks integration

How it works
On your board you click Automate or Integrate, search QuickBooks, and add an integration template. You sign in to QuickBooks and set which board columns match which QuickBooks fields. Customers go from monday to QuickBooks. Invoices and products come from QuickBooks to monday.
Good for
Teams on monday's Ultimate plan who want customers kept the same in both, and invoice totals and balances on the board.
Where it breaks
monday's help says it needs the Ultimate plan. Invoices only come from QuickBooks to monday, so finished work on your board is still typed into an invoice by hand. Formula, phone, dropdown, tags, timeline and connected board columns don't go across.

A Zapier zap

How it works
Zapier has ready templates, like Create estimates in QuickBooks Online for new items in your monday.com board, Create monday.com items for new QuickBooks Online invoices, and Update monday.com columns when new QuickBooks Online payments are received.
Good for
Teams who want one simple step monday's integration doesn't cover, like an estimate from a new item, or a paid mark on the board.
Where it breaks
Zapier marks QuickBooks Online as a Premium app. Each zap is one trigger and one action, so an invoice with several items, a discount and tax is a lot of setup to build and check.

A file import

How it works
In QuickBooks you export customers, items or reports to a CSV file. In monday.com you bring the file in with the import from Excel steps, into a new board or one you already have.
Good for
Getting your customers and products onto a board once, before you set up anything else. monday's own help suggests doing this first.
Where it breaks
It is a copy, not a link. The day after, new customers, prices and payments are missing from the board.

Arkeo agents

How it works
Agents read your board for work marked done, build and send the invoice in QuickBooks with the right customer and items, check each day which invoices are paid, and update the status and post an update on the monday.com item.
Good for
Teams where work should be billed the day it's finished, and nobody has the hours to check the board against the books.
Where it breaks
Anything your rules keep for a person, like an item with no price or a client who is behind on paying, goes to the owner in one message before anything is billed.

Where the monday.com QuickBooks integration stops

Billing is still done by hand. monday's help lists what goes each way: customers go from monday to QuickBooks, and invoices and products come from QuickBooks to monday. Nothing makes an invoice from your board. When a job is marked done, someone still opens QuickBooks and types the customer, the items and the amounts. Other makers sell add-ons on monday's developer forum just to make invoices from a board.

A lot of your board doesn't go across. monday's help says formula, phone, connect boards, link, files, dropdown, location, tags and timeline columns are not supported from monday to QuickBooks. If your board keeps the client's phone in a phone column or the service in a dropdown, someone retypes it, or rebuilds the board with plain text columns.

Products only come one way. Prices and items come from QuickBooks to monday, so a price changed on the board doesn't reach QuickBooks. And it needs the Ultimate plan, monday's top plan.

Public reviews are thin on this link. We didn't find many public reviews or forum threads about it. The limits above come from monday's own help page.
