From a Jotform order form to a paid invoice in QuickBooks

JotformQuickBooks
The short answer

The Jotform QuickBooks integration is built into Jotform. In the Form Builder, you add QuickBooks under Settings, then Integrations, and each new submission can make a customer or an invoice in QuickBooks Online. Zapier and a spreadsheet import are the other two ways. Where it stops: the invoice is not marked paid when the form takes a card, a name that doesn't match makes a second customer, and products on the form have to match the items in QuickBooks. Sending the invoice and chasing payment stay with your team. AI agents do that part, and tell you what doesn't match.

What the Jotform QuickBooks integration has to do

Many small businesses take orders, sign-ups and new clients through a form in Jotform. The money side lives in QuickBooks Online. Without a link between them, someone reads each submission and types the customer, the items and the price into an invoice. Each retype is a chance to bill the wrong amount or make the same customer twice.

So connected has to mean more than a form that makes an invoice. The customer in QuickBooks is the same one each time. The items on the invoice are the ones ordered on the form, at the right price. And somebody knows when the invoice is paid, so nobody chases a client who already paid or forgets one who didn't.

Three ways to connect Jotform and QuickBooks

Most people start with the first one. It has been part of Jotform since July 2023.

Jotform's QuickBooks integration

How it works
Jotform's own integration, added in the Form Builder under Settings, then Integrations. Its help guides walk through two actions: Create Customer and Create Invoice. Jotform's listing says it can also make estimates, bills, credit memos, expenses, products and journal entries. You map each QuickBooks field to a form field, and each new submission runs the action.
Good for
Order forms, sign-up forms and new client forms where each submission should become one customer or one invoice.
Where it breaks
Jotform's guide says invoices are not marked paid when the form takes payment through a payment gateway; you update them in QuickBooks. A returning customer whose Display Name doesn't match the name on the form may be made again. Jotform's support team says the integration only moves the data: sending the invoice, payment links and saved cards are set up in QuickBooks.

A Zapier zap

How it works
Zapier starts from a New Submission or New Signed Document in Jotform. Its QuickBooks Online steps can make a customer, an invoice, a sales receipt or a payment, send the invoice, or update a customer.
Good for
Teams that need a step Jotform's integration doesn't have, like sending the invoice or recording a payment.
Where it breaks
Zapier's help says it uses the Display Name to find a QuickBooks customer, and making one with a name already in use fails. Line items only work if both steps support them. The QuickBooks sign-in can expire, and the zap stops until someone reconnects it.

A spreadsheet import

How it works
In Jotform Tables, you select Download All, then Download as CSV or Download as Excel. Then you bring them into QuickBooks under Settings, then Import data, then Invoices.
Good for
A handful of invoices a month, or a one time catch up.
Where it breaks
Intuit's help says you can import up to 100 invoices at a time, with no discounts or credit memos, and not at all if you have sales tax set up. Someone downloads, cleans and imports the file by hand each time.

Arkeo agents

How it works
Agents read each new submission in Jotform, find or make the right customer in QuickBooks, build the invoice and watch for payment, and check the invoice against the form. They mark it paid when the money lands and follow up on late ones.
Good for
Businesses that bill from forms all month, where a missed or doubled invoice is lost money.
Where it breaks
Anything your rules keep for a person, like a discount or a refund, goes to the owner in one message.

How to set up the Jotform QuickBooks integration

These follow Jotform's own guides. Open them for the screens.

  1. 1

Line up your items and customer names

Make sure each product on your form has a matching product or service in QuickBooks. For returning customers, the Customer Display Name in QuickBooks has to match the Full Name on the form, or a second customer may be made.

  2. 2

Set Calculation Values on your choice fields

If the price comes from a Dropdown, Single Choice or Multiple Choice field, give each option a Calculation Value. Jotform calls this a must before you start.

  3. 3

Add QuickBooks in the Form Builder

In the Form Builder, open Settings, then Integrations, and search for QuickBooks. Select Create Invoice or Create Customer, then Next. Use Sandbox mode first to test, then Production, and select Connect to QuickBooks to sign in and select your company.

  4. 4

Map the fields and line items

Match each QuickBooks field to a form field. Under Line Item, set the Item Name, the Quantity and the Price from your Product List or payment field. Turn on Match invoice fields if you need the date, terms or tax. Then select Save.

  5. 5

Test one submission, then check the logs

Send one test form and find the invoice in QuickBooks. After that, open the three dot menu on the action to see its Action Logs, where failed runs show up. If the form takes a card, record each payment in QuickBooks yourself.

Where the Jotform QuickBooks integration stops

The integration moves a submission into QuickBooks. The work in the middle is still yours, and most of it is about money and names.

Payment doesn't come across. Jotform's own guide says that when your form takes a card through a payment gateway, the invoice is not marked paid. Someone opens QuickBooks and records each payment by hand. Jotform's support team went further in a 2026 answer: the integration only moves data. Sending the invoice, a payment link, saving a card or charging a second payment are all set up in QuickBooks, not Jotform.

Names make doubles. A returning customer only matches if the Customer Display Name in QuickBooks is the same as the Full Name on the form. A client who types "Bob" one month and "Robert" the next can end up as two customers. Zapier has the same rule, and it fails when a new customer has a name already in use.

The form has to match your books. Items on the form have to match the products and services in QuickBooks, and each priced choice needs a Calculation Value. Add a new product to the form and forget QuickBooks, and the invoice comes out wrong.

And nobody is told when it stops. Failed runs are listed in the Action Logs, which someone has to open. A Zapier sign-in that expires stops the zap until it is reconnected. The forms keep coming in either way.

The agents that do it

Each agent does one job from start to finish, in your own Jotform and QuickBooks. Your team talks to them in Slack or Teams.

Questions

Is my customers' information safe?

Yes. Agents work in your own Jotform and QuickBooks and see only what their job needs. Form answers never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

Does Jotform work with QuickBooks Desktop?

Jotform's QuickBooks guides only talk about QuickBooks Online, and you sign in to a QuickBooks Online company to connect it.

Can Jotform take the payment and mark the invoice paid?

Not on its own. Jotform's guide says an invoice made from a form that takes a card through a payment gateway is not marked paid. You record the payment in QuickBooks, or have agents match each payment to its invoice.

Can I use Jotform for new client intake too?

Yes. Many firms send a Jotform intake form when a client signs. The same name rules apply: the client's name on the form should match the customer in QuickBooks, or it can be made twice. If your clients also live in a CRM, the same work shows up when you connect HubSpot to QuickBooks.

What does it cost?

You get the price on the call, along with the hours it saves your team.
