Mixpanel product use where your sales team works

HubSpotMixpanel
The short answer

The main HubSpot Mixpanel integration is HubSpot's own Mixpanel data sync app. You install it from the HubSpot Marketplace, log in to Mixpanel, and it keeps Mixpanel users and HubSpot contacts in step, one way or both ways. Where it stops: HubSpot's listing says it does not sync events, so what people do in your product never reaches the contact. Custom field mappings need Data Hub Starter or higher, and the app is rated 1.3 out of 5 by its reviewers. Mixpanel can send groups of users out through a webhook, but only on a paid plan and to a web server you build. Nobody tells the rep which trial just took off. AI agents do that work.

What a HubSpot Mixpanel integration has to do

HubSpot holds your leads, deals and the emails your team sends. Mixpanel shows what people actually do inside your product. When the two are apart, a sales rep calls a trial user who never logged in, and misses the one who invited five teammates yesterday.

So connected has to mean two things. The same person has to be the same person in both apps. And what they do in the product has to show up where the rep works, in time to act on it. Contact details are the easy part. Product use is the part the usual connectors leave behind.

Three ways to connect Mixpanel and HubSpot

The first is HubSpot's own. The other two take more setup.

HubSpot's Mixpanel data sync

How it works
An app built by HubSpot in the HubSpot Marketplace. It matches Mixpanel users to HubSpot contacts and syncs them one way or both ways, with default field mappings. You can filter by a Mixpanel field or a HubSpot list.
Good for
Teams that want the same people, with the same names and emails, in both apps.
Where it breaks
HubSpot's listing says it syncs the customer record and does not include events data. Custom mappings need Data Hub Starter or higher. The listing shows an average rating of 1.3 from 10 reviews, and 8 of the 10 give it one star.

Mixpanel cohort sync to a webhook

How it works
In Mixpanel, you add a Webhook under Data, then Destinations, and sync a cohort to it, like trial users who used a key feature. Mixpanel sends the full list, then who joined or left the cohort since the last sync.
Good for
Teams with a developer who can take that list and write it into HubSpot.
Where it breaks
Mixpanel's docs say cohort sync needs a paid Mixpanel plan, and the webhook needs a server you run. It sends names, emails and any profile details you add, not each thing the person did. A project can have up to 60 recurring cohort syncs.

A Zapier zap

How it works
Zapier can start from HubSpot, like a new contact or a deal stage change, and create or update a Mixpanel profile or track an event in Mixpanel.
Good for
Teams that want deal stages in Mixpanel, to see which customers use the product most after they buy.
Where it breaks
The Mixpanel steps Zapier lists are actions, so this sends HubSpot data into Mixpanel, not product use back to sales. Most HubSpot steps are checked every 15 minutes on Zapier's Free plan.

Arkeo agents

How it works
Agents read events, funnels and cohorts in Mixpanel each day, send the trials that set up to the right rep in HubSpot, flag paying customers who go quiet, and post a weekly product use report.
Good for
Software companies with a free trial, where the best leads show up in product use, not in a form.
Where it breaks
Anything your rules keep for a person, like a discount or a call with an unhappy customer, goes to the owner in one message.

How to set up HubSpot's Mixpanel data sync

These follow HubSpot's own data sync guide. Open it for the screens.

  1. 1

    Check your permissions

You need to be a Super Admin in HubSpot, or have App Marketplace permissions, to connect the app. You also need a Mixpanel account.

  2. 2

    Install the app

In HubSpot, click the Marketplace icon, then HubSpot Marketplace. Search for Mixpanel, open the Data Sync app and click Install. Log in to Mixpanel and click Allow.

  3. 3

    Set the sync direction

On the Configure page, set whether data syncs both ways, only to HubSpot, or only to Mixpanel. Then set which app wins when the two disagree.

  4. 4

Check the field mappings and filters

Review the default mappings between Mixpanel users and HubSpot contacts. By default HubSpot only syncs contacts with a valid email address. Add a filter if only some users should sync.

  5. 5

    Watch the first sync

Save to start the first sync. HubSpot emails you when it finishes. Then go to Settings, Integrations, Connected Apps, open the app and check the CRM syncs tab for errors.

Where the HubSpot Mixpanel integration stops

The work in the middle here is product use. Each connector moves names and emails well enough. None of them puts what a person did in your product in front of the rep who owns them.

Events don't come across. HubSpot's listing for its Mixpanel app says it syncs the customer record and does not include events data. So the contact in HubSpot never shows that a trial user created a project, invited a teammate or hit a limit.

The app's own reviews are poor. The HubSpot Marketplace listing shows an average of 1.3 stars from 10 reviews, and 8 of the 10 give it one star. The newest reviews say it does not work or adds no value.

Groups of users need a developer. Mixpanel's cohort sync can send a list like active trial users through a webhook, but its docs say this needs a paid plan and a server you run. What it sends is a list of people, and someone still has to write it into HubSpot.

Changes wait for the next check. HubSpot's data sync guide says HubSpot looks for changes every 5 minutes, and a first sync of a large database can take days. Saving the settings again restarts the first sync.

And none of it decides who to call. Someone still opens Mixpanel, builds the report, finds the trials that set up, and messages the right rep.

The agents that do it

Each agent does one job from start to finish, in your own Mixpanel and HubSpot. Your team talks to them in Slack or Teams.

Questions

Is my customers' information safe?

Yes. Agents work in your own HubSpot and Mixpanel and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

Does HubSpot integrate with Mixpanel?

Yes. HubSpot builds a Mixpanel data sync app in the HubSpot Marketplace. It syncs Mixpanel users and HubSpot contacts one way or both ways. HubSpot's listing says it does not include events data.

Can I send Mixpanel events to HubSpot?

Not with HubSpot's Mixpanel app, which syncs users and contacts only. Mixpanel can send cohorts to a webhook on a paid plan, but you need your own server to write them into HubSpot.

How often does the HubSpot Mixpanel sync run?

HubSpot's data sync guide says HubSpot checks for changes every 5 minutes after the first sync. A first sync of a large database can take several days.

What does it cost?

You get the price on the call, along with the hours it saves your team.
