How to connect Airtable to Klaviyo

An Airtable Klaviyo integration explained: a Zapier zap, an Airtable script that calls Klaviyo, or a CSV import, how email consent works in each, where each one stops, and how AI agents keep your Airtable records and Klaviyo lists matched.

Your Airtable records on the right Klaviyo list

AirtableKlaviyo
The short answer

There is no built-in Airtable Klaviyo integration. Neither company makes a connector for the other, so you connect them with a Zapier zap, an Airtable script that calls Klaviyo, or a CSV import. Zapier can add a profile to a Klaviyo list or log a Klaviyo event when a record is added or changed in Airtable. Where it stops: adding someone to a list doesn't give them email consent, Klaviyo calls its Zapier consent setup a workaround it doesn't fully support, each Zapier run counts against Airtable's monthly API limit, and nothing from Klaviyo comes back to the record. AI agents keep the two matched and flag what doesn't.

What an Airtable Klaviyo integration has to do

Airtable is often where a business keeps the people it works with: event sign-ups, wholesale buyers, members, past clients, leads from a form. Klaviyo is where it emails and texts them. With no link, someone downloads a view as a CSV, uploads it to Klaviyo, and hopes nothing changed since.

So a real Airtable Klaviyo integration does three jobs. It gets each new or changed record onto the right Klaviyo list. It sends consent only for people who actually opted in. And it brings what happens in Klaviyo, like an unsubscribe, back to the record your team works from.

Three ways to connect Airtable and Klaviyo

Most teams start with Zapier.

A Zapier zap

How it works
Zapier's Airtable triggers are New Record and New or Updated Record. Its Klaviyo actions include Add Profile to List, Create or Update Profile, Subscribe Profile and Create Event. The other way, a New Profile in Klaviyo can create or update an Airtable record.
Good for
Teams who want each new Airtable record on a Klaviyo list within minutes, with no code.
Where it breaks
The New or Updated Record trigger needs a Last modified time field in your table. Airtable counts calls from connected tools against its monthly API limit, which is 1,000 calls on the Free plan. And Klaviyo's team says adding a profile to a list doesn't give that person email consent.

An Airtable script that calls Klaviyo

How it works
In Airtable automations, a Run a script action can call Klaviyo's API when a record changes. You keep your Klaviyo private key in the script's Secrets, and use Klaviyo's Subscribe Profiles request for people who opted in.
Good for
Teams with a developer who want full control over which fields and which consent go across.
Where it breaks
Airtable caps each run at 50 outside requests, each with a 30 second timeout. Someone has to write the script, read Klaviyo's rules on consent, and fix it when either side changes.

A CSV export and import

How it works
In Airtable, you click the arrow next to the view's name and select Download CSV. In Klaviyo, you open the list, select Manage list, then Import contacts, and map each column, including consent columns.
Good for
A one-time move, or a monthly upload by hand.
Where it breaks
A view with filters leaves records out. Klaviyo says uploads don't send a double opt-in email, and to turn off flows that start from the list before you import. The list is out of date the next day.

Arkeo agents

How it works
Agents read new and changed records in your Airtable base, add each person to the right Klaviyo list with the consent your form recorded, write Klaviyo unsubscribes back to the record, and flag records with a missing or mismatched email.
Good for
Teams that keep their people in Airtable and email them from Klaviyo each week.
Where it breaks
Anything your rules keep for a person, like a record with no clear consent, goes to the record owner in one message.

How to set up an Airtable Klaviyo integration with Zapier

Five steps, in our words. Each one links to Zapier's, Klaviyo's or Airtable's own page.

  1. 1

Add a Last modified time field

In your Airtable table, add a Last modified time field. Zapier's New or Updated Record trigger uses it to see which records changed.

  2. 2

Make a Klaviyo private API key

In Klaviyo, make a private API key with lists, profiles and subscriptions write access. You give it to Zapier when you connect Klaviyo.

  3. 3

Decide: add to a list, or subscribe

Use Subscribe Profile only for people who opted in to marketing. Use Add Profile to List for everyone else. Klaviyo says that if the list has double opt-in, each person gets a confirmation email first.

    Klaviyo's Subscribe Profiles page →

  4. 4

    Check your Airtable API calls

Open your workspace settings and look at Public API calls in the Summary section. Each Zapier check counts. On the Free plan, calls over the limit are blocked after a 30 day grace period.

  5. 5

    Test with one record

Add one test record with an email you control. In Klaviyo, open that profile and check the list and the consent are what you expected before you turn the zap on.

Where the Airtable Klaviyo integration stops

Zapier and scripts move records. The work in the middle is consent, limits, and everything that changes in Klaviyo after the record goes across.

A list is not consent. In Klaviyo's community, Klaviyo's community manager explains that you can create a profile and add it to a list without subscribing it, or upload with consent, or use the Subscribe Profiles request. A zap set to the wrong action can subscribe people who never said yes, or leave people who did opt in with no consent on record. Klaviyo also says never-subscribed contacts can still get email and count as active profiles. Someone has to check which one each record needs.

Klaviyo's own consent setup is a workaround. Klaviyo's help says its guide to sending consent through Zapier, a webhook plus a Python step, is not fully supported by Klaviyo, needs a paid Zapier plan, and is best only for teams with a developer. Its sample sets SMS consent, and Klaviyo says including an email address doesn't subscribe that person to email. In Klaviyo's community, one user found the sample wrote two profiles for one person.

Airtable rations the calls. Airtable says requests from connected tools use the same monthly API allowance as your own, 1,000 calls a month on Free and 100,000 on Team, and its API allows 5 requests a second per base. A busy table can hit the limit before the month ends, and the sync slows or stops.

And nothing comes back. An unsubscribe, a bounce or a changed email in Klaviyo stays in Klaviyo unless you build a second zap. Your team keeps working from an Airtable record that says the person is still on the list.

The agents that do it

Each agent does one job from start to finish, in your own Airtable and Klaviyo. Your team talks to them in Slack or Teams.

Questions

Is my customers' information safe?

Yes. Agents work in your own Airtable and Klaviyo and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

Does Klaviyo integrate with Airtable?

Not directly. Neither company makes a connector for the other. Teams connect them with Zapier, an Airtable script that calls Klaviyo's API, or a CSV export from Airtable imported into a Klaviyo list.

Will Zapier subscribe people to my Klaviyo list?

Only if you use the Subscribe Profile action. Add Profile to List adds them to the list without email consent. Klaviyo says that if the list uses double opt-in, each person gets a confirmation email before they are subscribed.

Do Zapier runs count against Airtable's API limit?

Yes. Airtable says requests from connected tools use the same monthly allowance as your own: 1,000 calls a month on the Free plan and 100,000 on Team. Business and Enterprise plans have no monthly cap, but the limit of 5 requests a second per base still applies.

What does it cost?

You get the price on the call, along with the hours it saves your team.
