The first way to set up a Zoho CRM integration with QuickBooks is Zoho CRM's own QuickBooks integration. You turn it on from Marketplace in Zoho CRM. It syncs Contacts, Accounts, Vendors and Products with QuickBooks, and lets you make QuickBooks quotes and invoices from inside Zoho CRM. Zoho Flow and Zapier are the other two ways. Both can make a QuickBooks invoice from a closed deal. Where it stops: a closed deal only becomes an invoice if someone sets up that rule, Zapier matches customers by name, an edited deal can start the invoice flow again, and the QuickBooks sign-in can expire. Nobody chases the unpaid invoice. AI agents do that work.
Why a Zoho CRM integration with QuickBooks matters
Sales closes the deal in Zoho CRM. The books live in QuickBooks Online. In between, someone retypes the customer, the products and the price into an invoice, then checks back later to see if it was paid. Each retype is a chance to bill the wrong amount or the wrong company.
So connected has to mean three things. A closed deal turns into one correct invoice. The customer is the same in both places. And sales can see who has paid, so nobody chases a customer who already did, or forgets one who didn't.
Ways to connect Zoho CRM and QuickBooks Online
Zoho CRM has its own QuickBooks integration. Zoho Flow and Zapier are automation apps you set up once. Each flow or zap does one job.
Zoho CRM's QuickBooks integration
- How it works
- Zoho CRM's own integration, found under Marketplace in Zoho CRM. It syncs the Contacts, Accounts, Vendors and Products modules with QuickBooks. You can make QuickBooks quotes and invoices from inside Zoho CRM, see QuickBooks records there, and build reports with QuickBooks data.
- Good for
- Teams that want the same customers and products in both programs, and want to make invoices without leaving Zoho CRM.
- Where it breaks
- Zoho's page lists Contacts, Accounts, Vendors and Products, not deals. To turn a closed deal into an invoice, you set up a rule in Zoho CRM's automation, and someone has to check that it keeps working.
Zoho Flow
- How it works
- Zoho's own automation app. Its ready-made flows make a QuickBooks customer each time a contact is added in Zoho CRM, and make a QuickBooks invoice when a deal is updated to closed. You can build your own from its Zoho CRM and QuickBooks triggers, like an updated invoice or customer in QuickBooks.
- Good for
- Teams already on Zoho apps who want a closed deal to become an invoice without retyping it.
- Where it breaks
- The invoice flow starts when a deal is updated, so a closed deal that is edited later can start it again unless you add a check. Payments don't come back to the deal unless you build a second flow from QuickBooks to Zoho CRM.
A Zapier zap
- How it works
- Zapier can start from Zoho CRM when an entry in a module, like Deals, is made or updated. The QuickBooks steps can find or make the customer, then make an invoice or estimate. A second zap can start from New Paid Invoice in QuickBooks and update the deal in Zoho CRM.
- Good for
- Teams that use Zapier for other work, or want paid invoices to show on the deal.
- Where it breaks
- Zapier's help says it matches QuickBooks customers by Display Name, and making a customer with a name already in use fails. Products need steps that support line items. Zapier checks QuickBooks every 15 minutes on its Free plan, and the QuickBooks sign-in can expire.
Arkeo agents
- How it works
- Agents read closed deals, contacts and products in Zoho CRM, build the invoice in QuickBooks the day the deal closes, and check it against the deal. They watch for payment, mark the deal paid, and follow up on late invoices.
- Good for
- Teams that close deals in Zoho CRM all month and bill from QuickBooks Online, where a missed invoice is lost money.
- Where it breaks
- Anything your rules keep for a person, like a discount or a credit, goes to the owner in one message.
How to set up the Zoho CRM integration with QuickBooks Online
These follow Zoho's, Zoho Flow's and Zapier's own pages. Open them for the screens.
- 1
Line up customer names firstCheck that each company has the same name in Zoho CRM and in QuickBooks. Zapier matches QuickBooks customers by Display Name, and a repeat name stops a new customer from being made.
- 2
Turn on Zoho CRM's QuickBooks integrationIn Zoho CRM, find QuickBooks under Marketplace and connect your QuickBooks company. Set up the sync for Contacts, Accounts, Vendors and Products. Then use Zoho CRM's automation to make a QuickBooks invoice when a deal closes.
- 3
Or use Zoho Flow's ready-made flowsIn Zoho Flow, turn on the flow that makes a QuickBooks customer for each new Zoho CRM contact, and the one that makes a QuickBooks invoice when a deal closes. Connect both apps when it asks. Add a condition so the invoice flow runs once per deal, for example only when the deal has no invoice number yet.
- 4
Or build it in ZapierStart a zap from Updated Module Entry in Zoho CRM, set to Deals, and add a filter so it only continues when the stage is Closed Won. Add the QuickBooks Create Customer step, which finds the customer or makes one, then Create Invoice. Map products with line items so each one carries over.
- 5
Send paid invoices back to the dealMake a second zap from New Paid Invoice in QuickBooks. Add Find Module Entry to find the deal in Zoho CRM, then Update Module Entry to mark it paid.
- 6
Check your Zoho CRM API useZoho CRM gives each org a set number of API credits in a rolling 24-hour window, based on its edition and users. A super admin can raise the limit in the API Dashboard.
Where the Zoho CRM QuickBooks integration stops
Each of these moves a deal into an invoice once. Making sure the right invoice went out, and that it got paid, is still a person's job.
Closed deals don't become invoices by themselves. Zoho lists Contacts, Accounts, Vendors and Products as the modules its own integration syncs. Zoho's page says you can make an invoice when a deal closes with Zoho CRM's automation. Someone has to build that rule and keep it working.
Customers are matched by name. Zapier's help says it uses the QuickBooks Display Name to find customers, and making a customer with a name already in use fails. When two companies share a name, or one is renamed in Zoho CRM, someone has to fix it by hand.
One deal can start more than one invoice. Zoho Flow's invoice flow starts when a deal is updated. If a closed deal is edited again, the flow can run again unless someone built a check.
Products need care. Zapier's help says line items usually need both the trigger and the action to support them. If they don't, the products may not come across as separate lines, and someone fixes the invoice by hand.
Payments don't come back to the deal by themselves. QuickBooks knows when an invoice is paid. With Zoho Flow or Zapier, the deal in Zoho CRM only shows it if you build a second flow or zap.
The sign-in and the limits can stop it. Zapier's help says the QuickBooks connection can expire or reset, for example after a password change. Zoho's developer docs say the Free edition gets 5,000 API credits in a rolling 24-hour window. When either runs out, invoices stop until someone notices.
And nobody chases the late invoice. The deal says won. The invoice sits unpaid. Someone has to see it and follow up.

Questions
Is my customers' information safe?
Yes. Agents work in your own Zoho CRM and QuickBooks and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Can Zoho CRM create invoices in QuickBooks Online?
Yes. Zoho CRM's own QuickBooks integration lets you make QuickBooks invoices from inside Zoho CRM, and Zoho says its automation can make one when a deal closes. Zoho Flow and Zapier can also make an invoice from a closed deal. Add a check so each deal makes only one invoice.
Will QuickBooks payments show in Zoho CRM?
Zoho says its own integration lets you see QuickBooks records inside Zoho CRM. To mark the deal itself paid, build it: Zapier can start from New Paid Invoice in QuickBooks and update the deal. Zoho Flow can start from an updated invoice in QuickBooks.
Why does my zap fail to create a QuickBooks customer?
Zapier's help says it matches QuickBooks customers by Display Name. If that name is already in use, making a new customer fails. Use Create Customer, which finds the customer first, and keep names the same in both places.
What does it cost?
You get the price on the call, along with the hours it saves your team.
