The main Pipedrive integration with QuickBooks is Pipedrive's own QuickBooks app. It works with QuickBooks Online only. You make an invoice from a deal in Pipedrive, it goes to QuickBooks, and the invoice's status (open, paid, overdue) comes back to the deal. Zapier can also make QuickBooks customers, estimates or invoices when a deal changes stage. Where it stops: products don't stay matched between the two, each customer has to be linked by hand the first time, odd invoice numbers and repeat customer names cause errors, and nothing makes the invoice when a deal is won or chases it when it's late. AI agents do that work and tell your team what needs a person.
Why the Pipedrive integration with QuickBooks matters
Your sales team closes deals in Pipedrive. Your books live in QuickBooks Online. In between, someone retypes the customer, the products and the price into an invoice, then checks back later to see if it was paid. Each retype is a chance to bill the wrong amount or the wrong company.
So a good connection does three things. It turns a won deal into a correct invoice without the typing. It keeps customers and products the same in both places. And it shows sales who has paid, so nobody chases a customer who already did, or forgets one who didn't.
Two ways to connect Pipedrive and QuickBooks Online
One is Pipedrive's own app. One is a zap you build yourself.
Pipedrive's QuickBooks app
- How it works
- You install it from Tools and apps, then Invoicing, in Pipedrive. On any deal, the Invoice tab lets you make an invoice from the deal's contact and products and send it to QuickBooks. The invoice then shows on the deal as Open, Paid, Voided, Overdue or Partially paid.
- Good for
- Small sales teams on QuickBooks Online who bill once per deal and want sales to see payment status.
- Where it breaks
- Pipedrive says changes to products in one program aren't reflected in the other, and each contact has to be linked to a QuickBooks customer before the first invoice. It is not offered in France. On the Pipedrive Marketplace it rates 3.5 out of 5 from 96 reviews, with 22% one-star.
A Zapier zap
- How it works
- Zapier's templates create QuickBooks Online invoices or estimates when Pipedrive deals are added or reach a stage, create QuickBooks customers from new Pipedrive people, and log a Pipedrive activity for each new QuickBooks invoice. QuickBooks Online is a Premium app on Zapier.
- Good for
- Teams that want an estimate at the proposal stage, or an invoice the moment a deal moves to won.
- Where it breaks
- Each zap is one trigger and its steps. A deal moved back and forward can make a second invoice, and line items, tax and discounts are each more steps you build and look after.
Arkeo agents
- How it works
- Agents see each won deal in Pipedrive, make the QuickBooks invoice from the agreed products and price, check the customer isn't a copy, follow up on late invoices, and mark the deal when it's paid.
- Good for
- Service and B2B companies that bill from deals, and where nobody has the hours to check each invoice against the deal.
- Where it breaks
- Anything your rules keep for a person, like a discount over a set amount or a new customer's tax ID, goes to them in one message.
How to connect Pipedrive to QuickBooks: the steps
These follow Pipedrive's own help articles. Open them for the screens.
- 1
Clean up QuickBooks firstMerge repeat customer names and bring your products up to date in QuickBooks. Pipedrive's troubleshooting guide says QuickBooks won't take an invoice for a duplicate name, and products don't stay matched after setup.
- 2
Install the appIn Pipedrive, open the account menu in the top right, go to Tools and apps, then Invoicing, and click Install next to QuickBooks. Grant access in the Pipedrive Marketplace, log in to QuickBooks, and select the QuickBooks company to use.
- 3
Set your invoice defaultsMap the Contact, Address, Email and Customer tax ID fields, set the Due date, Default tax rate and Default account, and set which users can make invoices. Click Save.
- 4
Make the first invoice from a dealOpen a deal, click the Invoice tab, then + Invoice. Click any warning icon to link the contact and each product to QuickBooks, check the currency matches the customer in QuickBooks, and click Create invoice.
- 5
Check the invoice in QuickBooksOpen the invoice in QuickBooks and check the number, tax and income account. If an error shows in Pipedrive, go through the troubleshooting guide: duplicate numbers, invoice numbers with letters, tax rates and currency are the usual causes.
What still has to be done by hand
The app makes an invoice when someone clicks + Invoice. Nothing makes it when a deal is won, so a busy rep still has to remember. Then the matching starts. Pipedrive's guide says a warning icon shows when the contact isn't linked to QuickBooks, and each product carries one until it's linked. It also says product changes made in Pipedrive won't show in QuickBooks, or the other way. So a price change has to be made twice.
Pipedrive's troubleshooting guide lists the errors that stop an invoice. An invoice number with letters means typing each new number by hand. An invoice made without a number makes QuickBooks start its own count at 1001, and someone has to look up the last number and fix the order. A customer name already used in QuickBooks blocks the invoice. On QuickBooks Simple Start, a second currency causes an error.
The reviews on the Pipedrive Marketplace say the same. Of 96, 22% are one star. The five newest, from early to mid 2026, say products don't stay matched and have to be redone, the invoice is too basic to add a logo, sales can't mark an invoice paid in Pipedrive, and one company never got it to work and keeps QuickBooks completely separate. That is the work in the middle: someone checking each deal against each invoice by hand.
The agents that do it
Each agent does one job from start to finish in your own Pipedrive and QuickBooks, and tells the right person what needs them.

Questions
Is my customers' information safe?
Yes. Agents work in your own Pipedrive and QuickBooks and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Does Pipedrive integrate with QuickBooks?
Yes, with QuickBooks Online. Pipedrive's own QuickBooks app makes invoices from deals and shows their status back on the deal. QuickBooks Desktop isn't supported by that app.
Does the Pipedrive QuickBooks integration sync products?
Only when you link them. Pipedrive's guide says changes to existing products in Pipedrive won't show in QuickBooks, and the other way round. If your products live in QuickBooks, you can export them and import them into Pipedrive once.
Will this replace my bookkeeper?
No. Your bookkeeper sets the accounts, tax and rules, and reviews the books. Agents do the invoicing steps and the checking, so their hours go to the work that needs them.
What does it cost?
You get the price on the call, along with the hours it saves your team.
