The monday integration with Outlook is built into monday.com. From a board you click Integrate, find Outlook and add a template, like one that makes an item from an incoming email or one that sends an email when an item changes. A second integration, Outlook Calendar, can sync meetings and items both ways. In monday CRM, Emails & Activities shows each contact's email on the item. Where it stops: the person who connects needs a Microsoft 365 Business Premium license, shared inboxes aren't supported, nothing from before setup comes across, and files don't come with the email. AI agents read the inbox, update the right item and chase the owner.
What a monday integration with Outlook has to do
Most client work starts in Outlook: a request, a change, a date that moved. If it never reaches the board, the board says one thing and the inbox says another. Then someone copies the email into an update, makes the item by hand, or asks in a meeting who has it.
So a good Outlook monday integration does two jobs. It puts each email that matters on the right item, with an owner and a date. And it keeps the board and the calendar saying the same thing, so a moved meeting or a moved deadline shows in both places.
Four ways to connect monday.com and Outlook
The first three come from monday.com. The fourth is a Zapier zap.
The Outlook integration templates
- How it works
- On a board, you click the Integrate button, search for Outlook and add a template. Templates can make items from new emails, add an email as an update, or send an email when a status changes. You connect with your Microsoft 365 sign-in.
- Good for
- Teams that want certain emails to become items, or want the board to send emails for them.
- Where it breaks
- monday.com says the person who connects needs a Microsoft 365 Business Premium license and an online Exchange inbox. It doesn't sync past emails, and it doesn't carry files. Its troubleshooting page says moving an email to a folder by hand triggers it again and makes extra items.
The Outlook Calendar integration
- How it works
- Two templates make a two-way sync: one turns items into Outlook events, one turns new Outlook events into items. It syncs the title, start and end time, attendees and description. A one-way option shows a board's dates in Outlook as a subscribed calendar.
- Good for
- Teams that want deadlines and client meetings on the calendar and on the board.
- Where it breaks
- Items need a time in their start and end date, or the event isn't made. monday.com says a subscribed calendar can take more than 24 hours to refresh in Outlook, and there is no way to make it faster.
Emails & Activities in monday CRM
- How it works
- An app on the Contacts, Leads, Accounts and Deals boards in monday CRM. You connect Outlook from its settings, then send, receive and reply to email from the item, with a timeline of each contact.
- Good for
- Sales teams on monday CRM who want each client's email on the deal.
- Where it breaks
- It is only in monday CRM, on the Standard, Pro and Ultimate plans, and an email address can connect to one monday.com user. In monday.com's community, an admin found one rep's emails linked to leads while another rep's didn't.
A Zapier zap
- How it works
- Zapier's Outlook triggers include New Email in Shared Mailbox and New Flagged Email, and its monday.com actions include Create Item and Create Update.
- Good for
- Teams whose client email lands in a shared inbox like info@, which monday.com's own integration doesn't take.
- Where it breaks
- Each zap is one path. Finding the right item for each email, not making a new one, is more steps you build and keep up.
Arkeo agents
- How it works
- Agents read new mail in the mailboxes you allow, shared ones too, find the client's item on your board, add the update, set the owner and date, and move the calendar event when the date on the item changes.
- Good for
- Teams that run client work on monday.com boards and get most of it by email.
- Where it breaks
- Anything your rules keep for a person, like a complaint or a change to a signed scope, goes to the owner in one message.
How to set up the Outlook monday integration
Five steps, in our words. Each one links to monday.com's own help page for the screens.
- 1
Check your Outlook account firstIn Outlook, open Settings, then Account, then Email accounts. If your email sits next to a Microsoft 365 icon, it can connect. The person connecting needs a Microsoft 365 Business Premium license and an online Exchange inbox.
- 2
Add a template from the boardOpen the board, click the Integrate button in the upper right, search for Outlook and select its banner. Then click the template you want and fill in the underlined fields.
- 3
Sign in with Microsoft 365Sign in when asked. If an Approval required screen appears, a Microsoft admin for your company has to approve monday.com before it can connect.
- 4
Add the calendar syncAdd a Date column with start and end times. Then add two Outlook Calendar templates: one that makes an Outlook event from an item, and one that makes an item from a new Outlook event.
- 5
Know how to reconnect itIf emails stop coming through, open the Autopilot hub, go to Connections, click the three dots next to Outlook and select Reconnect.
Where the monday.com and Outlook integration stops
The templates move email onto the board. The work in the middle is the email that never gets there, and what each one means for the item.
Shared inboxes are left out. monday.com says its Outlook integration only works with a Microsoft 365 business account on online Exchange. In a feature request on monday.com's community, teams say they found, after testing and talking with support, that it doesn't work with a shared inbox like info@. That is often where client email lands, so someone still copies it onto the board by hand.
It starts at setup and skips files. monday.com says the integration doesn't sync anything created before you set it up, and that its email integration doesn't support files. A signed form or a client's photo stays in Outlook until someone uploads it.
It can make doubles, and it can stop. monday.com's troubleshooting page says moving an email to a folder by hand triggers the integration again and makes extra items. It also says the connection is turned off if an admin adds two-step sign-in after setup, if the connection is revoked in Outlook, or if it expires. Then emails stop reaching the board until someone reconnects.
And the calendar runs late. A board shown in Outlook as a subscribed calendar can take more than 24 hours to refresh. A deadline moved this morning can still show the old date tomorrow.
The agents that do it
Each agent does one job from start to finish, in your own Outlook and monday.com. Your team talks to them in Slack or Teams.

Questions
Is my customers' information safe?
Yes. Agents work in your own Outlook and monday.com and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Does monday.com work with a shared Outlook inbox?
Not through its own Outlook integration. monday.com says it only works with Microsoft 365 business accounts on online Exchange, and teams in its community report that shared inboxes don't connect. Zapier has a New Email in Shared Mailbox trigger that can add items to a board.
Can I sync my Outlook calendar with monday.com?
Yes. Two Outlook Calendar templates make a two-way sync of meetings and items, from the time you set it up. A one-way option shows your board's dates in Outlook, but monday.com says it can take more than 24 hours to refresh.
Do I need a special Microsoft 365 license?
monday.com says the person who connects Outlook needs a Microsoft 365 Business Premium license. Others on your monday.com account don't need it.
What does it cost?
You get the price on the call, along with the hours it saves your team.
