There is no built-in Mailchimp and Outlook integration. Mailchimp's help tells Outlook users to export their contacts to a CSV file and import it, and the only Mailchimp listing in Microsoft's marketplace is a Teams connector for campaign notices. So most businesses import their Outlook contacts once, add a Zapier zap for new ones, and send campaigns from their own domain so replies land in Outlook. Where it stops: an import can overwrite good data, people who unsubscribe in Mailchimp stay in Outlook, campaigns can land in Outlook's Junk folder, and replies arrive with no one assigned. AI agents keep the list current and sort the replies.
What a Mailchimp and Outlook integration has to do
Outlook holds the people you already talk to: clients, past buyers, people who asked for a quote. Mailchimp is where you send to them all at once. With no link between the two, the list in Mailchimp falls behind your inbox, and the replies to each campaign pile up in Outlook with nobody sure who answers them.
So a real Mailchimp integration with Outlook does three jobs. It adds new people to your audience, but only the ones who agreed to hear from you. It keeps unsubscribes from being emailed again. And it puts each reply in front of the right person.
Three ways to connect Mailchimp and Outlook
None of them is made by Mailchimp or Microsoft for the other. Most businesses use the first two together.
Export from Outlook, import to Mailchimp
- How it works
- In Outlook, you export your contacts from People to a CSV file. In Mailchimp, you click Audience, then the Add contacts drop-down, then Import contacts, and upload the file.
- Good for
- Moving your contacts over once, or once a month by hand.
- Where it breaks
- It is a copy that is out of date the next day. Mailchimp says the Update any existing contacts option replaces fields with what's in your file, and blank fields erase data you had. Imports don't change anyone's marketing status, and Mailchimp says you need explicit permission for each person you add.
A Zapier zap
- How it works
- Zapier's Outlook triggers include New Contact, New Email Matching Search and New Email in Shared Mailbox. Its Mailchimp actions include Add/Update Subscriber and Add Subscriber to Tag. The other way, a New Unsubscriber in Mailchimp can update an Outlook contact.
- Good for
- Adding new contacts or new sign-ups from Outlook to your audience as they come.
- Where it breaks
- Each zap is one path. Adding everyone who emails you is not the same as having their permission. Unsubscribes need their own zap, or they never reach Outlook.
Send from your domain, reply in Outlook
- How it works
- You set your Outlook work address as the From and reply-to address in Mailchimp, then authenticate your domain from Account & billing, then Domains, then Start authentication.
- Good for
- Businesses that want campaign replies to land in the inbox they already work from.
- Where it breaks
- Mailchimp says public email services can't be authenticated, and it changes the From address for free addresses like Gmail and Yahoo. Replies still land in one inbox, with nothing to say who answers them.
Arkeo agents
- How it works
- Agents read new contacts and sign-ups in Outlook, add the ones who said yes to your Mailchimp audience with the right tags, mark unsubscribes in Outlook, and sort each campaign reply to the right person.
- Good for
- Businesses that send a newsletter or offers and run their client email out of Outlook.
- Where it breaks
- Anything your rules keep for a person, like a complaint or a reply asking for a quote, goes to that person in one message.
How to set up a Mailchimp integration with Outlook
Five steps, in our words. Each one links to Microsoft's, Mailchimp's or Zapier's own page for the screens.
- 1
Export your Outlook contactsIn Outlook, open People, click the export option, select the contacts folder and click Export. The CSV file saves to your Downloads folder. Microsoft says to keep the file in UTF-8.
- 2
Clean the file and check permissionRemove anyone who never agreed to get your email. Mailchimp says to take out any address that might lead to a spam or abuse complaint.
- 3
Import into your audienceIn Mailchimp, click Audience, then the Add contacts drop-down, then Import contacts. Upload the CSV and match each column to a field. Leave Update any existing contacts off unless your file is complete.
- 4
Authenticate your domainClick your profile icon, then Account & billing, then the Domains tab, then Start authentication next to your domain. Add the DKIM and DMARC records Mailchimp gives you.
- 5
Add a zap for new contacts
In Zapier, set an Outlook trigger like New Contact and a Mailchimp action like Add/Update Subscriber. Test it with one contact before you turn it on.
What still has to be done by hand
Each way to connect them moves names one way, at one moment. The work in the middle is keeping the two right after that.
The list goes stale, or gets worse. An Outlook export is a copy from the day you made it. Mailchimp says its Update any existing contacts option replaces audience fields with what's in your file, and that blank fields overwrite and erase data you had. Mailchimp also says imports won't change the marketing status of people already in your account, so an import can't fix who is subscribed.
Unsubscribes stay behind. When someone unsubscribes in Mailchimp, nothing tells Outlook. Their contact still sits there, and a teammate can add them to the next Outlook group email.
Outlook can junk your campaigns. Mailchimp's own help says Outlook's filters are strict, and that if a subscriber marks one campaign as spam, Outlook will likely send your next campaign to Junk. Microsoft now asks anyone sending more than 5,000 emails a day to Outlook.com, Hotmail and Live addresses to pass SPF, DKIM and DMARC, and says mail that fails goes to Junk first and may be rejected later.
And replies have no owner. Replies to a campaign land in the Outlook inbox you set. Questions, quote requests and out-of-office notes sit together, and someone reads each one to decide who answers.
The agents that do it
Each agent does one job from start to finish, in your own Mailchimp and Outlook. Your team talks to them in Slack or Teams.
Client email gets an owner and a reply.
- Reads new mail in your shared mailboxas it lands
- Files it and sends it to the right personright away
- Flags mail no one has answeredevery day
Know which emails bring guests back.
- Pulls opens, clicks and unsubscribes from each emailafter each send
- Compares them to past emailsevery week
- Sends the results to your teamMonday morning
Questions
Is my customers' information safe?
Yes. Agents work in your own Mailchimp and Outlook and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Is there a Mailchimp add-in for Outlook?
Not from Mailchimp. The Mailchimp listing in Microsoft's marketplace is a Microsoft Teams connector that posts notices about your campaigns to a channel. To get contacts from Outlook into Mailchimp, Mailchimp's help points you to a CSV export and import.
Why do my Mailchimp emails go to junk in Outlook?
Mailchimp says Outlook's filters are strict, and that a subscriber who marks one campaign as spam will likely see the next one in Junk. Mailchimp suggests authenticating your domain and keeping only engaged subscribers on your list.
Can I send Mailchimp campaigns from my Outlook address?
Yes, if it is a work address on a domain you own. Mailchimp says public email services can't be authenticated, and it changes the From address for free addresses so your campaigns still get delivered. Replies still go to the address you set.
What does it cost?
You get the price on the call, along with the hours it saves your team.
